This is a permanent position to work in our Cartago site, located in Zona Franca La Lima. Job Function Summary: Responsible for providing administrative support to the General Manager. Implements and manage complex plans and schedules, respond with appropriate urgency to situations and events that require immediate response, maintain confidentiality of information, and possess exceptional organization and communication skills. Represents Coloplast internally and externally and frequently interacts with executive and senior leadership levels within Coloplast. Major Areas of Accountability: - Proactive information flow management designed to maximize the General Manager’s productivity and ensure all requests receive attention with the proper level of urgency - Organizes internal and external meetings - Acts as point of contact for both local and Corporate Communications and is responsible for local deployment - Provides complex calendar management – strategically prioritizes and manages General Manager’s schedule and calendar - Prioritizes and manages travel scheduling and itineraries, both domestic and international - Prepares high-level presentations and/or reports - Monitors and completes expense reports accordingly - Composes letters, memos, and other written correspondence as requested - Takes minutes from meetings as required - Ensure awareness of the Quality policy - Any additional tasks requested by the General Manager Responsible for: - Performing their job in compliance with the guidelines given - Drawing attention to the manager to any difficulties in understanding or following the guidelines - Drawing attention to inefficiency of the system - Take responsibility for those safety aspects identified for the given position - Support the positive EHS culture Essential Qualifications: - 2+ years of executive support experience or similar roles - High School diploma or equivalent required, Associate or bachelor’s degree preferred - Advanced computer skills in MS Office package - Fluent English written and verbal skills. Prefer Qualifications: - Experience in the medical device industry.
