Job Summary The Engagement Assistant is a full-time AmeriCorps position that supports Palomar’s mission of protection, hope, and healing by helping to coordinate details that make our outreach programs and events successful. This role is responsible for assisting with volunteer and intern programming, staff and partner engagement activities, and with the execution of other trainings, meetings, and community events. From setting up spaces and preparing materials to ensuring smooth follow-up afterward, the Engagement Assistant helps every gathering run efficiently to ultimately strengthen the network of care for survivors. Reporting Structure The Engagement Assistant will report to the Director of Volunteers & Engagement and work closely with the Marketing & Communications Manager, joining weekly and biweekly check-ins to collaborate, brainstorm, and evaluate progress. Order refreshments, prepare meeting spaces, take thorough notes, and follow up with attendees as appropriate. Events & Community Engagement Represent Palomar at community events to recruit volunteers, interns, mentors, donors, and connect with potential clients. Provide hands-on support for after-hours events serving clients or the community. Help plan and execute major annual events. Cofaciliate group service projects and foster meaningful volunteer experiences. Volunteer & Intern Programming Support with the scheduling and coordination of interns and volunteers. Assist with recognition efforts of various types of volunteers. Create and send the monthly engagement newsletter. Maintain an organized office for interns and volunteers where they can access cubbies and a shared workspace. Provide administrative support with the volunteer and donor database, as well as other development team needs. Marketing & Communications Assist with the creation of social media graphics. Track inventory of promotional materials and keep items organized. Create and update community presentations with up-to-date statistics and service information. Maintain awareness of upcoming events for clients and partners. Administrative & Creative Support Assist with the onboarding process of new staff and partners. Keep directories and distribution lists up to date. Coordinate partner tours and engagement activities.
